Building 321 and 322 meeting rooms are utilizing "Zoom Rooms"

You can use “Zoom Rooms” or the standard HDMI/USB cable. Zoom Rooms can be used for Zoom meetings and hybrid meetings, but also for presentations in the room, without having a virtual meeting at all. This way, you can make a presentation for people in the room, without using any cables connected. Zoom Rooms is particular well suited for Hybrid PhD Defence. You can run or join a Zoom meeting without any laptop at all. The cable can be used if you need to use other meeting software than Zoom.

Zoom Rooms

Use the Zoom Rooms Controller to either start a meeting, join a meeting or start a presentation. The controller will switch layout after joining a meeting, so that you can control cameras, audio, etc. Zoom Rooms will give you both monitors, both cameras, speakers and room microphone. You can have both cameras (if available) running (And control both) if you enable “Multi-Stream” on the controller, which is useful for PhD Defence. You can enable “Auto-Framing” and “Multi-Focus” if you are multiple people in the room, and each person needs to be represented as a meeting participant, in a Zoom Meeting. If you need a second/multiple controllers, you can download the “Zoom Rooms Controller” App to your smartphone and connect it to the room (Follow instructions in the App). This way, you or other participants, can control the entire room/meeting, from wherever you are located, within the room.

Cable (Bring Your Own Device)

Plug the cable into your laptop and do a presentation, start a Teams meeting etc. The cable will connect you with one monitor, one camera, speakers and room microphone. You have to plug-in both the USB-C and the HDMI cable, HDMI alone is not enough.

Powerpoint presentation via Share Screen or Zoom meeting

If you use the share screen functionality via Zoom Rooms, and start a powerpoint presentation which only shows the presentation on your device, you need to disable "Presenter View" in Powerpoint. You will find this option under "View" in the menu in Powerpoint.
