Summary

Starting May 10th the earlier announced [/Migration_to_common_DTU_exchange_server_and_domain migration] to a common DTU wide mail server and Active Directory authentication service will start. The migration will take place from May until end of June and will be performed in batches where the mailbox'es and Windows PC's of a number of users will be migrated simultaneously.

Details

Changes seen from the end-user:

  • To logon to a Windows PC at IMM one should the same username and password as for http://portalen.dtu.dk
  • Outlook users will now have a nore extensive addr. book, i.e. it will include all staff of DTU.
  • Using an email program different that outlook a reconfiguration of the email client is needed (see below)
  • Accessing network CIFS shares one have to use the same username/password as to portalen.

Things not being changed:

  • Email address is unchanged.
  • Personal www page on http://www.imm.dtu.dk/~<imm-initials> is unchanged. An alias for http://www.imm.dtu.dk/~<dtu initials> will be maded during June.
  • Username/logonname will remain unchanged. It is expexted that the username will change to DTU initials during July for most users

Timetable

Starting May 10th users and their PC's/notebooks will be migrated in batches. Each batch will typically include one floor in one building and require that the user and their Windows PC/notebook is present at IMM (but the user can not use the PC for a couple of hours). Each specific user will be informed individually beforehand and will be asked to confirm the participation.

Things that end-users might have to do

Mail server setup changes

Outlook:

Migrated DTU Computer:
Outlook will be configured automaticly. First time a user logon after the PC has been migrated the outlook profile will be converted. During this conversion the user might be asked to type in the username/password (up til 4 times). The username should be WIN\<DTU initials> and the same password as for http://portalen.dtu.dk.

Non-migrated computer (e.g. home computer):
Outlook needs to be reconfigured by going to Control Panel -> Mail and choose the account setup for the Outlook profile. The server name for the account should be changed from exchstore.imm.dtu.dk to WINEXCHANGE5.win.dtu.dk and underMore Settings -> Connection -> Exchange proxy settings exchmail.imm.dtu.dk should be replaced with mail.win.dtu.dk

Outlook Migrated users using outlook might have trouble sending to certain non-migrated users: If the non migrated user have an exchange mailbox on a different department on the common DTU exchange server then that user will appear in the address book with the email adr. from the other department. This might also be the case if the email adr. is in the outlook cached information of email addresses. Solution: write the email adr. directly, e.g. joe@imm.dtu.dk.

Outlook clones (e.g. Entourage or activesync):
Use mail.win.dtu.dk as server. Make sure that a SSL based connection is ticked. If asked for a domain name it is WIN.
The email address is your ordinary @imm.dtu.dk address (ex. lh@imm.dtu.dk)
Username is your portal username (may be longer ex. leho)

Imap client (e.g. thunderbird):
Set up a new account.
Incoming server:

  • Use the IMAP server address mgw.win.dtu.dk.
  • Tick Use Secure Sockets Layer (SSL).
  • Normal password (not Kerberos/GSSAPI)
  • Use the username/password as to http://portalen.dtu.dk

Outgoing server:

  • Use the SMTP server address mgw.win.dtu.dk.
  • Set port number 465 (default: 25). Some clients (like Evolution) set the port like this: mgw.win.dtu.dk:465.
  • Select STARTTLS connection security if available or TLS with authentication type login (Evolution).
  • Type in your user name and password.
  • Set the new outgoing server as default

Thunderbird known problems:

  • After setting up the new account, your folders may not show. You need to rightclick on the account, choose 'subscribe' and tich the foler you want to see.
  • When sending mail, copies of mail can not be delivered to the Sent folder. Try restarting Thunderbird and maybe the Computer. If that is not enough, remove the new account and set it up again.

Accessing network shares

Accessing CIFS based network shares (e.g. \\www2.imm.dtu.dk\docs\courses) from non-domain Windows PC's the user should now authenticate with portal username+password. Access rights should remain unchanged.

Permissions on calendar

If you share your calendar (or any other outlook folder) you should check the permissions after the migration. Permissions might be lost (i.e. resat to default more restrictive mode) - especially if permissions have been set to a group.
